Called to order at 4:30pm by Chairman Golz
Present: Chairman Golz, Vice Chairman Halverson, Trustee Lane, Trustee Franzoi (arrived at 4:35pm), Trustee Stojanovic, Trustee Turner (arrived at 4:32pm), Superintendent of Schools VanderHeyden, Trustee Witt and Teen Rep Chintamani
Also Present: James Taylor, Director Kopetsky and Business Manager Dreyer
Public Comment/Communication
James Taylor explained that a study was done by Schreiber Anderson to survey 3rd through Main Street. Having the post office, library, fire department and police department in close proximity is unique to a community. The study concluded that the city should look into ways to optimize a city campus.
Consent Business
A motion was made by Halverson, seconded by Witt to approve the Library Board of Trustees meeting minutes from April 26, 2022 and accept the Marketing & Resource Development Committee minutes of May 5, 2022 and the Governance Committee minutes of May 16, 2022. Motion carried unanimously.
Authorization of Bills
A motion was made by Franozi, seconded by VanderHeyden, to authorize payment of the May 2022 list of bills from the 2022 budget and endowment fund. Motion carried unanimously.
Unfinished Business
Planning Process Update
We have completed the Community Visioning Sessions – one with staff and five with the community. We received over 300 survey responses. EUA is currently going through the survey results. The Project Leadership Team will be meeting in June.
501(c)3 Update
Att. Matt Brehmer has submitted a list of questions to start the paperwork for the 501(c)3.
New Business
Director’s Report
We have ordered the tables and chairs for the Gegan and Company E Rooms, and they will arrive on June 9.
We have been working on cleaning up and organizing the lower-level storage area.
We are looking at moving our local history collection into the former reference staff area. The vacant space will be used to feature new materials and collections. We hope to complete this by the end of summer.
Library Assistant Anne Miller retired. Lauren Radtke will be taking Anne’s 20 hours per week and Sarah Thies will be starting as a casual employee tomorrow.
The growing number of COVID cases is impacting our team.
April Statistics
Our door count has been growing steadily and is approaching 90% of pre-COVID levels. We are also seeing a substantial boost in programming numbers – seeing almost 1400 attendees last month. In April, SMITHworks saw 232 people use the space, not including programs that were held in the space.
2022 Budget Status
Trustees reviewed the 2022 budget status.
County Funding
We should see a small gain in funding from the two counties who utilize library services.
Discussion and Approval of Updated Self Check System
Kopetsky is recommending that we purchase the Meescan modular self-checkout system. We have been having trouble keeping our current self-check up and running and we can no longer get a service contract and parts are scarce. We would purchase modular system, iPad as the main interface and a receipt printer. The annual fee is $2,500. Motion made by Franzoi, seconded by Halverson to spend no more than $10,000 from the endowment general fund to purchase the Meescan self-checkout system, iPad and receipt printer. Motion carried unanimously.
Library Board Assignments
Halverson reviewed the library board assignments for 2022-2023.
Staff Reports
The summer reading program for children, teens and adults will begin on June 6.
We are collaborating with the City of Menasha Park and Rec Department for movies in Smith Park and story times at the pool.
Our next board of trustees meeting will be held on Tuesday, June 28, 2022, at 4:30pm. Trustees agreed to continue to meet the 4th Tuesday at 4:30pm.
